A vehicle is recorded as a vehicle, not as a generic item

The intake form asks for the identifiers a workshop actually uses. Not one free-text box, but separate fields you can search on.

  • Plate number

    How your customers and mechanics actually refer to a vehicle. Pull up the full history without remembering the owner’s name.

  • Chassis number (VIN)

    The identity that survives a plate change or a change of owner. This is the one that settles arguments.

  • Engine number

    Matters the moment you order a part that differs between engine variants — and when a parts warranty is questioned.

  • Odometer reading

    Captured when the vehicle is booked in and stored with that job. A reference in the history, not an automation trigger.

  • Production year

    Separates generations that look identical but take different parts. Saves the wrong order.

  • Estimated cost

    Recorded at booking-in and printed on the intake receipt, so the owner leaves with the figure in writing instead of in memory. If the number has to be checked, the job holds at Awaiting Confirmation until somebody decides.

A real screen, not a mock-up. The complaint list already speaks workshop — weak brakes, oil leak, check engine light — and so does the equipment it asks about: registration papers, spare wheel, jack. Irrelevant fields are not renamed — they are removed

A car has no IMEI. A motorcycle has no screen-lock pattern. Software that merely pastes a new label on the same form still puts those boxes in front of your mechanics, where they sit empty forever until the form feels heavy and people stop filling it in.

Pick a vehicle business type and Automan removes the IMEI / serial number, device specification, and screen-lock fields from the intake form altogether. What is left is what a workshop actually asks. Open the form and count the boxes you have to skip — there are none.

Handover is where disputes are born. Automan seeds a check-in list so the condition of the vehicle is agreed in front of the owner rather than reconstructed afterwards:

One limit, stated up front

The odometer is recorded, not calculated. Automan does not work out the next service interval, does not trigger reminders from mileage, and does not work out when a service is next due at all — there is no next-service date and no interval the app computes. What it does instead runs on elapsed time: an automatic follow-up days or weeks after a vehicle leaves, a win-back message to customers who have not been back in a long while, and a reminder before a service warranty expires. If mileage-based service reminders are non-negotiable for you, Automan does not do that today.

The catalogues are already filled with workshop work

Wrong seed data is worse than none, so the lists are built per trade rather than shared. Both are editable — untick what you will never sell, add what you do.

Two things worth knowing

The Business Type Wizard is built for a brand-new store — once a Store App holds transactions it is no longer offered. And one Store App serves one kind of unit: vehicles or electronics, never mixed. Running both trades means running two Store Apps under one account. The Business Type Wizard itself is available in Indonesian and English.

A second location? Parts move with their cost price

The moment an account holds more than one active Store App, the inter-store stock transfer menu appears by itself — nothing to buy, nothing to switch on. Location A sends the part, location B confirms receipt (partial receipts allowed), and anything that never arrives is either cancelled or written off as a loss.

What separates this from "subtract here, add there": the cost price travels with the part, following each store’s costing method (FIFO or average), and the accounting entries are posted automatically in both sets of books. Opening a branch also gets copy products & categories — the product list, categories and brands carry over, while stock starts at zero.

Questions workshop owners ask

Is there really a free plan?
Yes. The Lite plan is free with no expiry date, and its limits are published rather than hidden: 5 service jobs, 10 sales, 20 purchases and 40 returns per day. All core modules are included. A one-bay workshop taking a few vehicles a day often never needs more. When you outgrow it, Pro removes the transaction limits and adds image uploads for Rp 15,000 per month — billed in Indonesian Rupiah.
Does this work for a motorcycle workshop, or only for cars?
Both, and they are separate. Car workshop and motorcycle workshop are two distinct business types, each with its own seeded brands, services, complaint categories and product categories. A bike shop gets CVT service in its default service list; a car shop gets wheel alignment and balancing. Neither inherits the other’s catalogue.
Can it remind customers when the next service is due by mileage?
No, and we would rather you learn that here than after signing up. Automan records the odometer reading with each job, but it does not calculate the next service interval and it does not trigger reminders from mileage. That matches how most workshops actually work: strip it down, find out what is wrong, call the owner, then start — and the waiting part has a status of its own. The job holds at Awaiting Confirmation until somebody decides, then moves to Confirmation Approved or Confirmation Rejected, with the outcome kept on the record. One thing to be clear about: the phone call is still yours to make. Your staff enter the decision after reaching the owner; the customer sees the status on the tracking page but has no approve button to press.
I run a workshop and an electronics repair counter. Can one account cover both?
One account, yes — one Store App, no. A single Store App handles one kind of unit, vehicles or electronics, so the vocabulary, forms and catalogues never contaminate each other. Owners of two trades run two Store Apps under the same account. As soon as an account has more than one active Store App, the inter-store stock transfer menu appears on its own, with nothing extra to buy.
I am outside Indonesia. What should I know before trying it?
Three things, stated plainly. Pricing is in Indonesian Rupiah, so your bank will handle the conversion. Support runs in Bahasa Indonesia, so email and messaging replies come in Indonesian. And the seeded vehicle catalogue lists brands common on Indonesian roads — Toyota, Daihatsu, Wuling, Vespa and so on — which fits Southeast Asia well and fits Europe or North America less well. Every seeded list can be edited or replaced with your own, but you should know what you are starting from.
Are any workshops using it already?
