Automan Terms of Service

Updated

These terms govern your use of Automan: the application, the website, and the services around them. By using Automan, you agree to what follows.

Effective: 19 October 2026

These terms complement the Automan Privacy Policy, which governs personal data. Where both cover the same ground, the Privacy Policy prevails on matters of personal data.

1. Accounts and access

An Automan account is personal:

  • One person, one account. Do not share usernames and passwords, not even between colleagues. Automan attaches every change to the account that made it — shared accounts make that record worthless.
  • You are responsible for activity from your account. If a password leaks, change it and tell us.
  • Shop owners manage their own staff permissions through the permissions screen. We do not add, remove, or use your accounts without your request, except for recovery work you ask us to do.

Automan slows down repeated failed sign-in attempts. That is a guard against password guessing, not a penalty — access returns on its own after a short wait.

  • Account owner registration. You can register an account and create a shop directly from the Android app. When registering, you must tick a statement that you are at least 18 years old.
  • Devices and sign-in sessions. The app uses a random installation identifier, the Android ID, and the device name, not an IMEI or advertising identifier, to tie the sign-in session to the device. Account sign-in sessions remain valid for 90 days since last use. Up to 5 devices can be used per account.
  • Service purchases. The app has no purchases. Packages, modules, and AI balance are purchased through the web.

Details of registration with Google, WhatsApp number verification, and registration and profile data are available in the Automan Privacy Policy.

2. Your shop’s data is yours

What you put into Automan — customers, transactions, stock, repair records — is yours. In practice:

  • Every shop runs on its own database; your data is not blended with another shop’s.
  • You can back up your own data from inside the app, whenever you want.
  • You can export your data out, and import data in.
  • Ending your subscription does not hold your data hostage. We never use data as leverage.

We access your shop’s data only when needed to provide support you asked for, to fix a fault, or where the law requires it.

3. What you must not do

  • Access, attempt to access, or try to display another shop’s data.
  • Probe, scan, or attack Automan’s systems without our written permission. If you find a vulnerability, report it — see §10.
  • Share Automan credentials with third parties you do not control.
  • Use Automan for unlawful activity.
  • Load the system so heavily that other shops are affected. Automan runs on shared infrastructure: one shop’s excess is felt by everyone.

4. Integrations and automation

We do not forbid you from connecting Automan to other applications. The data is yours, and we mean it when we say the door opens both ways. There are ground rules:

What we ask:

  • Use a dedicated account for integrations, not the owner or administrator account, with only the permissions it needs. If those credentials ever leak, the damage stays contained.
  • Prefer reading over writing. External applications that write into Automan create numbers that can disagree with no record of which is right.
  • Fetch only what you need. Pulling data every few seconds for information that changes a few times a day costs everyone and gains you nothing.

What you should know:

  • Reading data by scraping page output is not supported. Pages are built for people to look at, and we may change them at any time without notice. A connection built that way can break — or worse, quietly start reading the wrong number. Never let a scraped figure be your only source of truth, least of all for money.
  • An official API is in preparation as the supported path: lighter, stable in shape, and with changes announced. If you are building an integration, talk to us — what you need shapes what that API becomes.

5. Fair use

Automan runs on shared infrastructure. To keep it healthy for everyone, we apply fair-use limits and may throttle or temporarily block requests far beyond normal use.

These limits are not designed to interfere with ordinary work — neither normal human use nor the official Automan mobile app comes close to them. If your usage approaches a limit, we contact you before restricting anything, unless that usage is degrading service for others right then.

6. Availability and maintenance

We work to keep Automan available, but we do not promise uninterrupted service. Scheduled maintenance is aimed at quiet hours and announced beforehand when we expect disruption.

Features may change, be added, or be retired. For changes that affect how you work, we tell you first.

7. Suspension and termination

We may suspend access when:

  • §3 or §4 is breached;
  • usage is degrading service for others;
  • there are signs an account is being misused or its credentials have leaked.

Where the matter is not urgent, we contact you first and give you a chance to put it right. Where something is actively harming other users, we may suspend first and tell you after.

You may leave at any time. Before you do, take your backup and export your data.

Deletion of an owner account and all its shops:

  1. From the app, open Pengaturan > Akun pemilik (Settings > Owner account), sign in with Google, choose Hapus akun (Delete account), then type HAPUS.
  2. Or, without the app, open the account deletion page, sign in with your username and password, then type HAPUS.

Download or print any reports you still need before submitting a request. Deleted data cannot be recovered. All shops owned by the account are immediately locked and cannot be used after the request is submitted. Deletion is scheduled for 30 days later. During the 30-day waiting period, you can cancel from the app or the same web page. Notifications are sent to the account’s WhatsApp / email.

When the scheduled date arrives, data from all shops owned by the account is permanently deleted, including sales, repairs, stock, customers, staff, and finances. Uploaded images, the account’s WhatsApp message history in the Automan system, app sign-in sessions, and shop data backups on the main server are also permanently deleted. Profile data on the account is cleared or anonymised; the profile photo and Google identifier are deleted. Records of package purchases and payments to Automan, together with a copy of the account profile data, are kept for bookkeeping and tax obligations for as long as tax regulations require (currently 10 years). Automatic backup copies on the backup server are kept separately, only for recovery if a server fails, and are not erased immediately when the account is deleted.

To delete just one shop without deleting the account, use the account panel on the web. Guidance for account owners and field workers is available on the Automan Mobile Data Deletion page.

8. Changes to these terms

These terms may change. We announce significant changes in advance through the app or your registered contact. The “Effective” date above always reflects the version in force.

9. What these terms do not yet cover

Some matters are deliberately absent because they must be settled formally first, and we would rather leave them out than write something not yet decided:

  • subscription, billing, and refund terms;
  • limitation of liability;
  • governing law and dispute resolution.

Until those are published, they follow whatever written agreement is in force between you and Automan.

10. Contacting us

For questions about these terms, integration plans, or security vulnerability reports:

We take vulnerability reports seriously and will not answer them with accusations. Tell us how to reproduce it, and give us time to fix it before going public.
