Automan FAQ

What workshop and repair shop owners ask most often, before and after they start using Automan.

Different questions take different paths, but every answer returns to the same product facts.

Pre-Sales FAQ

Is Automan a POS app or a repair app?

Neither label really fits. Automan is an operations and finance system for auto repair shops and electronics repair shops — the POS is just one part of it. Inside you get the repair workflow from booking in to handover, inventory, purchasing, sales, returns, WhatsApp, reports, payroll, user access, and accounting, depending on what is switched on.

Is Automan free?

The Lite plan is free with no expiry date — Rp 0 — and its daily limits are published rather than hidden: 5 service jobs, 10 sales, 20 purchases and 40 returns per day. When a shop outgrows that, Pro removes the transaction limits for Rp 15,000 per month, billed in Indonesian Rupiah. Paid extras are switched on with Tokens bought from a reseller, only when the shop needs them. No countdown timers and no prices that change quietly.

Is Automan a good fit for a small workshop or repair counter?

Yes. A one-bay workshop or a single-bench counter does not have to use everything from day one. Start with the repair workflow, customers, receipts, status tracking, and basic reports. The rest comes later, when the shop starts needing advanced inventory, WhatsApp, payroll, promotions, or accounting.

Does Automan work for a car workshop or a motorcycle workshop?

Both, and they are separate. Car workshop and motorcycle workshop are two distinct business types, each seeded with its own brands, services, complaint categories and product categories — a bike shop gets CVT service in its default service list, a car shop gets wheel alignment and balancing. Choosing a vehicle business type relabels the whole app: Technician becomes Mechanic, Repair Item becomes Vehicle, Item Type becomes Vehicle Type, and Symptoms becomes Customer Complaint. Every seeded list is a tick-box recommendation, so you can drop what you do not use and add your own.

Can it record plate number, chassis number and odometer reading?

Yes. A vehicle record holds plate number, chassis number, engine number, odometer reading and production year. The odometer also sits on the vehicle intake checklist alongside registration papers, bodywork condition, glass and wipers, exterior lights, tyres and rims, brakes, and fuel level. One thing we will state plainly: the odometer is only recorded. Automan does not calculate when the next service falls due and does not send reminders based on distance travelled. What does run automatically is a follow-up a few days after the vehicle is collected, and a reminder before the repair warranty expires.

I run a workshop and a phone counter — is one account enough?

One account, yes — one Store App, no. A single Store App handles one kind of unit, vehicles or electronics, so the vocabulary, forms and seeded lists never contaminate each other. You run two Store Apps under the same account. That is where it pays off: as soon as an account holds more than one active Store App, the inter-store stock transfer menu appears on its own with nothing extra to buy, and an item’s cost price travels with it when stock is sent across.

Can I migrate from Excel?

Yes, and it does not have to happen all at once. Products and inventory can be imported from Excel using a template. For accounting, opening balances are set up through the opening-balance wizard — no journal knowledge required first. Start with the most important data; the rest can follow as you go.

Is Automan’s WhatsApp official?

No, and we do not claim it is. Automan uses a non-official WhatsApp gateway. Available features: auto-sender, autoresponder, quick answers, targeted broadcasts, and 26 automatic reminders — with natural delays, sending-hour controls, and safe-usage guidance. We prefer explaining the limitations openly over promising “ban-proof”.

Are all taxes automatic?

No — and we do not promise that. What runs automatically: VAT for tax-registered (PKP) shops on taxable transactions, and employee income tax (PPh 21). Other taxes such as PPh 23, PPh 22, PPh 4(2), Final UMKM, and PPh 25 are not automated yet, and we say so plainly.

Is my shop’s data mixed with other shops?

No. Every Store App uses its own dedicated database — your shop’s data does not share a room with thousands of other shops. Backups and an operational audit trail are available. To be honest: this is an architectural isolation claim, not a “leaks are impossible” promise — no system can promise that.

Can I create more than one shop?

Yes. One account can create more than one Store App, each with its own subdomain and database. Each shop keeps its own reports, and since August 2026 the Account Panel also provides consolidated reports across all your Store Apps — profit and loss, cash flow, and cash-pocket balances readable on a single screen.

Does Automan have an Android app?

Yes: Automan Mobile. It is built for the work that cannot wait for a signal — technicians and front-desk staff take jobs, add parts and services, update statuses, and confirm customers from their phone; travelling sales reps sell, collect payments, and take returns right at the customer’s door. When the signal drops, transactions are stored on the phone and sent automatically once it returns, each device with its own receipt-number allocation so numbers never clash. WhatsApp messages to customers still go out automatically, and the shop’s control center — reports, settings, accounting — stays on the web version.

Does Automan have AI, a parts marketplace, PPOB, or GPS attendance?

Not yet — and we do not sell features that do not exist. One clarification so nothing gets muddled: GPS staff attendance is indeed not available, but optional trip-location recording for travelling sales reps ships with the Canvassing module — off by default, and only active while the app is open. Automan’s current focus is operational and financial depth you can inspect directly: repairs, inventory, returns, audit, payroll, WhatsApp, reports, and accounting.

What is the difference between lite reports and accounting?

Lite reports help owners read channel balances, cash flow, receivables, payables, and profit and loss — without having to understand accounting. Accounting is for when the shop needs journals, a Balance Sheet, P&L, Cash Flow, period closing, and more formal reports for an accountant, a bank, or tax registration. Both read the same transaction data, so moving up does not mean starting over.

Operational FAQ

Why is my menu incomplete?

Menus follow three things: which paid extras are installed, whether their active period is still running, and the access rights of the user who is logged in. Open Module Setting to see what is installed and how long it stays active, then check the user’s group and the permissions attached to it.

Why am I logged out right after logging in?

The most commonly recorded cause: an inaccurate device clock. Turn on automatic time synchronization on the device, then try logging in again.

Does clicking save twice create a duplicate transaction?

The main transaction forms have anti-duplicate safeguards, such as transaction locks and duplicate checks. A safe habit on a slow connection: do not press save repeatedly — check the transaction list first before re-entering.

Why are WhatsApp messages to new numbers held back?

That is a risk-control mechanism, not an error. The system holds messages to contacts that have never interacted before (cold contacts) to protect the health of the shop’s number, then schedules them according to the rules.

What happens when there is a return on an unpaid invoice?

The return value automatically offsets the remaining debt first. Only if there is an excess does it become a refund. The original transaction’s status is recalculated along the way — no manual recap.

Does a damaged part immediately become a loss?

Not necessarily. A damaged part that can still be claimed goes into Damaged Stock, then gets claimed to the supplier through the warranty claim flow. The item’s origin and the claim process are recorded, so a damaged part does not silently turn into a loss.

Why can’t work records be added after the unit is picked up?

That is intentional. Once the unit is handed over, the job data is locked so the final record cannot change quietly. If something needs correcting, use the correction flow, which keeps its history.

Why do reports differ from my manual count?

Check in order: period filter, payment channels, return transactions, receivables/payables, cost of goods, and payment dates. Use the drill-down to source transactions where available — the difference usually shows up at one of those points.
