A customer asks something on the shop WhatsApp, and the only person who can answer is whoever happens to be sitting at the computer. Meanwhile the person who actually knows the answer is usually the one holding the unit.

Now shop WhatsApp threads can be opened and answered from the Android app. The number stays the shop number and the history stays the same history — so a colleague opening it on the computer sees the whole conversation, not a fragment.

Two things were deliberately not made “as convenient as possible”, and both are worth knowing the reason for.

This screen always needs a signal. Conversations are not stored on the phone at all. Their content belongs to customers — numbers, complaints, sometimes photos of their belongings — and a field phone is the device most likely to be lost or passed on. Keeping shop chat history there means keeping it somewhere you cannot recall it from.

And the app says “queued”, not “sent”. Messages are not fired at WhatsApp from the phone; they enter a queue on the server and go out from there, exactly like the web path. Saying “sent” would read better, and would be lying for the first few seconds.

One fix you may have been waiting for is included here: replies typed from a phone now land in the correct counterpart thread. Previously, in certain conversations, outgoing messages could pile up in the shop own number thread — looking like a shop talking to itself.

Before you start

  • The shop WhatsApp gateway is connected. The app uses the same connection as the web version, not a new one.
  • WhatsApp permission is open for the staff account that will reply.

Steps

  1. Open the WhatsApp menu in the app

    It holds the thread list for the shop WhatsApp number, the same one visible in the web version. This is not the staff private WhatsApp: what replies and what is replied to remains the shop number.

  2. Know that this screen needs a signal

    Conversations are deliberately not stored on the phone. They belong to customers — often holding numbers and personal complaints — while field phones are the most likely to go missing. Storing them would leave shop history on a device you cannot recall.

  3. Open a thread and read its history

    The history is whole, including automatic messages the app sent and replies your colleague typed from the computer. Everyone reads the same conversation, not different fragments of it.

  4. Reply, then read the status as it is

    After pressing send, the app says the message is queued — not sent. That is the actual state: it enters a queue on the server and is delivered by the WhatsApp worker, exactly like the web path.

  5. Send an image when needed

    A photo of the unit condition or a transfer receipt can be attached straight from the gallery or camera. Incoming images from customers can also be opened large to inspect the detail.

  6. Make sure replies land in the right thread

    If replies typed from a phone used to pile up in one wrong thread, that behaviour has been fixed. Outgoing messages now always land in the thread of the person you are talking to.

  7. Do not use it for private conversations

    Everything sent here carries the shop identity and is stored in shop history. This is a shared work tool, and all of it can be read by colleagues holding WhatsApp permission.

What you end up with

Staff can reply to customers from the shop number anywhere, with exactly the same conversation history visible on the computer, and without storing customer data on a field phone.

If something goes wrong

This screen is online only — check the phone connection first. If the connection is fine and it is still empty, check the shop WhatsApp gateway status in the web version.

Old messages do not show while the phone has no signal

They will not. Conversations are deliberately not stored on the phone to protect customer data. Only transaction work is stored locally, never chat content.

A message stays queued for too long

The queue is on the server, so check the shop WhatsApp gateway. Do not resend repeatedly from the phone — messages piling in the queue will all go out once the gateway recovers.

Customer numbers appear masked

That is the contact masking applied uniformly across the app, following shop settings. Those entitled to see full numbers can open them from the web version according to their permissions.
