Scan Repair QR: One Tap to the Right Job

The scan button has actually been in the app for a long time. What few people knew: it used to be impossible to succeed with.

It compared the raw scan result against the search code, while the only QR the app had ever printed was the one on the receipt — and that QR holds a web address, not a code. An address will never equal a code, so every scan ended with a message saying the code was not found. The feature existed; nobody could use it.

Two things are now fixed, and the second matters more than the first.

First, the code is right. Unit stickers hold the plain search code, and the app still recognises the receipt QR. Whatever is in your hand, it reads.

Second, the order is reversed. You used to have to choose an action first — take the job, record work, change status — before you were allowed to scan. On a shop floor the order is always the other way round: the unit is in your hand first, the decision comes after. Now you scan, and the app shows you the unit together with everything you may do to it.

One detail that changes how it feels in use: blocked actions are not hidden. The button stays there, simply unpressable, with the reason written under it. A button that vanishes without a word forces people to guess — and guesses on a shop floor usually end as a phone call to the owner.

Before you start

  • QR stickers are printed and attached to units, or the customer still holds the repair receipt.
  • Camera permission has been granted to the app on the phone.

Steps

  1. Tap the Scan Repair tile on the app home screen

    It sits among the home tiles, not inside a nested menu. The order is deliberately scan first, then choose — the opposite of the old habit that made you pick an action before you were allowed to scan.

  2. Point the camera at the sticker, or type the code

    If the sticker is dirty, peeling, or the unit is in an awkward spot, the search code can be typed on the same screen. There is no need to leave for another menu.

  3. Read the action sheet that appears

    Once the code is recognised, the app shows the unit together with the relevant actions: take the job, view details, confirm with the customer, or hand it over. The list comes from the server, not from a guess on the phone.

  4. Use the sound and vibration as confirmation

    Success and failure sound different, and a successful camera capture gives a short vibration. On a noisy shop floor those cues are often caught faster than text on the screen.

  5. Do not be confused by buttons you cannot press

    Actions that are not allowed yet still appear, together with the reason — the unit has not reached the confirmation stage, for instance, or your permissions do not cover that action. Buttons that vanish without explanation force people to guess.

  6. Take the job straight from that sheet

    If the unit is still queued and your rights allow it, one tap records that you are holding it. The status moves exactly as it would when claiming from the queue list in the web version.

  7. Receipt QR codes work too, not just stickers

    If what the customer is holding is the repair receipt, the QR on it is still recognised by the app. Its contents differ from the sticker QR, but both lead to the same unit.

What you end up with

Finding the right job out of a pile of units takes one scan, and every action — available or blocked — explains itself, without hunting through a repair list.

If something goes wrong

Make sure you are scanning the unit sticker and not a product barcode. If the sticker has faded, just type the search code. QR codes that are too small or pressed against a divider line often fail too — increase the size in the sticker settings.

The unit is found but every action is blocked

Read the reason under each button. Usually the unit has not reached that stage, has already been handed over, or your account permissions do not cover the action. Those three are resolved by different people.

The camera does not start at all

Camera permission has not been granted to the app in the phone settings. Grant it, then reopen the scan screen. In the meantime the code can still be typed manually.

I cannot take a unit that belongs to a colleague

That is intended. A unit already held by someone else is shown together with the holder name, and its actions are blocked. Changing who holds it is done through the repair workflow, not through scanning.
