Installing Automan Mobile: Link the Phone, Approve, Start Working

There is one question every shop asks the moment it decides to put a moving field team to work: how can an employee’s phone be trusted with the store’s data, without the store losing its grip on who gets to walk in?

Automan Mobile answers that with a sequence that is deliberately not instant. A phone cannot be used the moment the app is installed — it has to be linked to the store first, then wait for the owner’s approval, and only then does the person sign in with their own account. Three layers sound like extra steps, but they are exactly what lets you hand a phone to a technician, a front-desk staffer, or a sales rep without second-guessing it — because every device that is active is a device you actually recognize.

Here is what gets missed elsewhere: plenty of field apps make installation feel like any ordinary app — open it, sign in, done, anyone can walk in from anyone’s phone. Automan Mobile asks for one extra step up front, and that step is exactly what stops a lost phone or a departing employee from turning into a hole in the store’s data.

This tutorial walks the install from start to a phone that is genuinely ready to work: download, link, wait for approval, sign in with a staff account, until job alerts start arriving. One thing worth remembering from the start, and we repeat it at the close: the web app stays the store’s control room — reports, settings, and accounting do not move to a phone, and they were never meant to.

All you need going in is two things: a shop already running on Automan’s web app, and an Android phone with internet for that first linking step. Everything else is walked through on screen.

Note

UI screenshots for this tutorial are on their way. You can still follow the guide through the menu, button, and field names given in each step.

Before you start

  • The shop already runs on the Automan web app — Automan Mobile complements it, it does not replace it.
  • An Android phone with internet access, needed once to download the app and link the device.

Steps

  1. First, decide who actually needs it

Automan Mobile is built for the shop's field team — technicians and front-desk staff who run repair jobs, and travelling sales reps who sell and collect at a customer's door. Customers never install anything; they keep getting news over WhatsApp. Owners may install it too just to keep an eye on things, but reports and settings stay in the web app.

  2. Download and open the app

Download Automan Mobile (Android) and install it like any other app. Open it once installed — the first screen will ask you to link this device to the store before anything else can be done.

  3. Link the device to your Store App

Follow the on-screen linking flow — a new device is introduced to the store through a code/link from the panel, not a free login. This is the first security layer: no phone can start acting on the store's behalf until it has been recognized.

  4. Once linked, the device waits for the owner's approval

Don't worry if the screen sits idle for a moment — that is expected. Every new device stays in a pending state until the owner approves it from the web side (Panel Akun / Store App). That approval is what keeps only devices the owner recognizes able to carry the store's data.

  5. Owner: how to approve it from the web

Sign into the Store App or Panel Akun from whatever computer or phone you use as the owner, find the device waiting in the list, and approve it. Once approved, that device can be used — until you decide to deactivate it yourself, say because the phone was lost or the employee has left.

  6. Each person signs in with their own account

Once the device is approved, every technician, front-desk staffer, or sales rep signs in with their own staff account — never one account shared around. That is what keeps every job and transaction made from the phone attached to a real name, not an anonymous entry.

  7. Turn on notification permissions so job alerts actually arrive

Automan Mobile sends push notifications for job and transaction updates. When the app asks for notification permission on the phone, allow it — so technicians and front-desk staff learn about new work without having to keep the app open all day.

  8. For travelling reps: location recording stays off until the owner turns it on

GPS recording only applies to canvassing trips, and it is off by default. If your shop uses canvassing and wants trip tracking, the owner switches it on from Pengaturan → Transaksi → Penjualan → Canvas ("Settings → Transactions → Sales → Canvas") — it is not something that turns on by itself when the app is installed.

  9. Installation done — and remember, the web stays in control

Once sign-in succeeds, that phone is ready for day-to-day field work. Financial reports, shop settings, and accounting still happen in the web app, though — Automan Mobile deliberately does not try to move everything onto a phone screen.

What you end up with

One field-team phone is properly linked to the store, approved by the owner, and signed in under its own staff account — ready to receive jobs and notifications without pulling control away from the web app.

If something goes wrong

The device is linked but still cannot be used

That is the pending-approval stage working as intended. Ask the owner to open the Store App / Panel Akun and approve that device — without this step the phone cannot get any further.

Job notifications never show up on the phone

Check the app's notification permission in Android settings — if it was declined the first time it was asked, turn it on manually from there. Also make sure the phone's battery-saver feature is not force-stopping the app in the background.

One phone gets passed around between several people

Best avoided. Each person has their own user account so jobs and transactions are logged under the right name — when a shift changes, have the next person log out and sign in with their own account.

An employee's phone was lost, or the employee has left

The owner can deactivate that user account from the web app at any time. Once deactivated, that phone can no longer act on the store's behalf — and if a replacement phone is used later, it has to go through owner approval again from scratch.

A travelling rep feels their location isn't being recorded, but the shop wants to track it

Location recording really is off until the owner switches it on under Pengaturan → Transaksi → Penjualan → Canvas ("Settings → Transactions → Sales → Canvas"), and it only runs while the app is open on screen — not background tracking.

Reports won't open from inside this app

That is by design. Automan Mobile is for field work; reports, settings, and accounting still open from the web app on a computer or a phone's browser.
