Ask a repair shop owner which spare part they use most, and they will answer confidently. Then open the records, and the answer is often wrong.

Not because they do not understand their own shop. Because human memory stores what was memorable, not what was frequent. One difficult job that swallowed a whole day feels larger than thirty small ones finished in ten minutes each — even though those thirty are what actually pay the rent.

The repair dashboard corrects that distortion. It takes the pile of repairs you have already recorded and sorts it into five breakdowns: which unit brands come in, which customers arrive, which faults you handle, which services get taken, and which parts get used.

Those five lists happen to answer five decisions you have been postponing. Which parts deserve permanent shelf space. Which faults deserve a fixed-price package. Which technician needs training in what. Which customers you cannot afford to lose.

One warning so the effort is not wasted: a dashboard that is only looked at is entertainment. This tutorial closes with the rule that makes it useful — one finding, one action, then shut it.

Before you start

  • Repairs recorded in full, including unit type, symptom, service and parts used.
  • At least a month of data. A dashboard holding five repairs shows no pattern at all.

Steps

  1. Open the repair dashboard, not the numeric reports

    Reports answer "how much". The dashboard answers "what happens most". Two different questions, and the second is far more useful for deciding what to stock tomorrow and who to train.

  2. Start with the brand breakdown — it decides your buying

    Look at which unit brands come in most. If three brands account for the bulk of your work, that is a direct answer to which spare parts deserve shelf space and which can be ordered only when needed.

  3. Then the fault-type breakdown — it decides your training

    Which symptoms do you handle most? When one fault type keeps recurring, there are two opportunities at once: build a fixed-price package for that job, and make sure more than one technician can do it.

  4. Read the service breakdown to find where the money really comes from

    The most frequently taken service is not necessarily the most profitable one. Compare frequency against value — sometimes an infrequent but high-value job is worth advertising more than a busy, thin one.

  5. Check the spare parts breakdown before next month buying

    This is your shopping list, written by reality rather than by feeling. Parts used most often deserve to be always in stock; parts that barely appear here yet pile up on the shelf are money asleep.

  6. Read the customer breakdown last — this is where the surprise lives

    Almost every repair shop has a handful of names contributing far more than the owner assumes. Find them, then treat them differently: queue priority, first word about an offer, or simply being greeted by name.

  7. Read the breakdowns in pairs, not one at a time

    The power appears when two are set side by side. The most frequent brand combined with the most used parts gives a far sharper stock list than either does alone.

  8. Compare two periods rather than staring at one

    A single month means nothing without something to compare it against. What is useful is the change: a fault type rising this month, a brand starting to fade. Change warns you earlier than any absolute number.

  9. Turn one finding into one action — then stop

    A dashboard without action is entertainment. Every time you open it, take one finding and turn it into one decision: stock one item, build one price package, train one person. Ten findings nobody acts on lose to a single one that gets done.

  10. Schedule the time, do not wait for curiosity

    Fix one regular moment — the start of the month, before you buy. A dashboard opened only when you have a bad feeling always tells you too late.

If something goes wrong

The dashboard is empty or nearly empty

Two causes: there genuinely is not enough data yet, or repairs are being entered without filling in unit type, symptom and parts. The second is more common — the dashboard can only summarise fields that were actually completed.

The numbers do not look plausible

Usually duplicated master data: one brand spelled two ways, or one symptom entered under two names. Tidy the master data and figures that were split will merge back together.

Check whether parts are always recorded against their repair. Anything taken off the shelf without being recorded will never appear here — and that is also why system stock differs from shelf stock.

Make sure you are viewing the dashboard for the shop you mean. Comparing the two is genuinely useful: different fault patterns usually mean different kinds of customer.
